Running AI phones for your clients: an agency guide

An agency can run an AI phone for each of its clients by giving every client business its own line: its own local number, its own details learned from its own website, its own hours and its own people to put calls through to. The agency manages the lot from one account, and the usage across all those lines comes to the agency on one invoice. An AI phone here means a business number answered by AI, which clients may know better as an AI receptionist. This guide walks through setting up a client from first conversation to first call, and what to ask for along the way.

Why agencies use one platform for many clients

Agencies that look after clients' marketing or websites are often asked the same question: what happens when someone calls? A client who misses those calls is paying for traffic that goes nowhere. An AI phone closes the gap. It picks up every call, 24 hours a day, and says at the start that it is an AI. It books into the client's Google Calendar, puts the caller through to a person, or takes a message with the caller's details and emails it. It marks urgent calls so they are not buried.

For you, the useful part is that this is one platform. You learn one setup process and use it for each client, rather than stitching together a different tool per client and a different bill to go with it.

Before you start: what to ask each client for

The setup is quick when the client's information is ready, and slow when it is not. Send this list at the start.

Ask forWhy you need it
Website addressThe AI learns the business from it: services, address, contact details and common questions
Opening hoursHours are set per client, and decide what the AI does when the business is closed
People to put calls through toNames, roles and numbers for transfers, such as the front desk, a manager or an on-call person
Where urgent calls should goWho should be reached when something cannot wait
Who gets messagesThe email address that receives messages with caller details
A Google CalendarBookings are made into Google Calendar during the call
The countryLocal numbers are available in New Zealand, Australia, the United States, the United Kingdom and Canada
Written permissionThe client agrees that calls will be answered by an AI, recorded and transcribed

That last row matters. Calls are recorded and transcribed, and recording rules vary by country, so the client should know and agree before you switch anything on.

Setting up a client, step by step

1. Give the client its own line

Each client business gets its own number and its own setup. Do not share one line across clients, even small ones. Separate lines keep each client's calls, recordings and details apart, and they make the usage clear on the invoice.

2. Let the AI learn the business

Point the AI at the client's website. It reads the pages and builds an understanding of what the business does, where it is and what callers usually ask. Then read what it produced, as you would proof-read anything sent under a client's name. Check the address and contact details, the services (including anything the client does not offer), and whether its answers are right.

The AI works from what is on the website. If the site is thin or out of date, the AI will be too, and fixing the site is often the real task.

3. Set the hours

Set the client's opening hours. Outside them, the AI still answers every call. What differs is what it does: during hours it can put a caller through, and after hours it can take a message or book a time for the next day.

4. Add the people who take transfers

Add the client's own people, not yours. A call transferred to the agency's phone is a call the client is paying you to lose. Give the AI the front desk, the manager and, where it applies, an on-call person for urgent calls.

5. Connect the calendar

If the client takes bookings, connect their Google Calendar. During the call the AI checks the real free times and books into the calendar, so the client sees the appointment where they already look.

6. Talk to it before the client does

Call the line yourself and try the awkward calls: the caller who wants a person, the caller with an emergency, the caller who asks something the site does not cover. Fix what you hear, then let the client call it too.

Giving the client visibility

Every call is recorded and transcribed, and each comes with a summary. That is the material for a monthly report to the client: how many calls came in, which were out of hours, which were urgent and what people asked about. It also shows the client what you did for them, which is its own reason to have it.

The platform also has an API, webhooks and an MCP server, so developers at your agency can send call information into your own reporting.

How billing rolls up to the agency

A postpaid AI phone plan bills usage after the month. All the lines on your account are added up, and you receive one invoice. You do not buy a plan per client, and you do not top up a balance per client.

That means one document to approve and pay each month, however many clients you add, and call records you can open to see where the usage came from.

How you charge your own clients is your decision. We do not publish postpaid prices on this site, because they depend on the shape of the account. We agree the terms with you when the account is opened.

The invoice can be paid by card through a hosted invoice page if that suits your finance process better than a bank transfer. The details are in how a postpaid AI phone plan is billed.

Things to be honest about with clients

  • Say it is an AI. The AI tells every caller so at the start of each call. Do not present it to a client as a person.
  • It does not replace the client's staff. It handles the first conversation and puts the right calls through.
  • It answers numbers we provide. It is not a way to forward a client's existing number.

How to get started

  1. Request access at app.postpaid.ai.
  2. Tell us how many clients you expect to start with, and which countries they are in.
  3. Our team gets in touch, and we open the account with you.
  4. Set up your first client end to end, and use it as the template for the rest.

If you want to talk it through first, use the contact page. To see what postpaid.ai is for, start at the home page.
